Position Overview
The Executive Assistant will provide high-level administrative, coordination, and operational support to the Head of Mission. This role requires exceptional organisational skills, sound judgment, and the ability to manage confidential information with discretion. The successful candidate will facilitate smooth communication and coordination among FINKAP colleagues, partners, government bodies, and other stakeholders.
Key Responsibilities
- Executive and Administrative Support: Manage the Head of Mission’s calendar, appointments, meetings, and correspondence. Prepare briefing materials, agendas, minutes, and follow-up trackers.
- Coordination and Stakeholder Engagement: Support coordination with government ministries, UN agencies, development partners, and civil society. Organise official meetings, workshops, and events.
- Communication and Correspondence: Draft and proofread official letters, reports, and emails, ensuring professionalism and confidentiality.
- Meeting and Event Management: Coordinate logistics, prepare meeting documentation, take accurate minutes, and support high-level event organisation.
- Mission Operations Support: Assist with travel arrangements, administrative and financial documentation, and liaise with internal departments.
- Information and Document Management: Maintain organised electronic and physical records, track deadlines, and support periodic reporting.
- Additional Duties: Conduct research, prepare reports and briefing papers, represent the Head of Mission when delegated, and perform other tasks as required.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Public Administration, International Relations, Political Science, Development Studies, Management, or related field.
- 3–5 years of relevant experience in executive assistance, administration, programme support, or related fields.
- Proven experience supporting senior management, preferably within international organisations, government, or NGOs.
- Excellent command of written and spoken English.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Exceptional organisational and time-management skills with the ability to manage multiple priorities.

- Experience organising high-level meetings, missions, and stakeholder engagements.
- Knowledge of programme coordination and reporting processes.
What We Offer
This full-time position offers a monthly salary between 60,000 and 80,000 ZMW. The successful candidate will gain valuable experience within an international organisation, contributing to impactful humanitarian and development efforts in Zambia and beyond.
