VACANCY: ONSITE ENERGY KITWE

ABOUT THE ROLE

Onsite Energy Ltd is looking for a motivated, honest and detail-oriented Accounting Intern to join our team at the Kitwe Depot.

The successful candidate will support the Finance and Depot teams in managing and reconciling daily fuel transactions, maintaining accurate accounting records, monitoring fuel stock movements, processing invoices and assisting with daily financial reporting.

This is a hands-on depot-based internship suited to someone who is comfortable working in a busy fuel and logistics environment and has a strong interest in accounting.

PURPOSE OF THE ROLE

To assist the Depot and Finance teams in accurately accounting for fuel received, fuel dispatched, fuel stock, sales and related financial transactions, while ensuring that all records are properly reconciled and maintained.

KEY DUTIES AND RESPONSIBILITIES

1. FUEL STOCK ACCOUNTING & RECONCILIATION

  • Assist with recording opening and closing fuel stock at the depot.
  • Assist with daily fuel stock reconciliation.
  • Reconcile opening stock, fuel received, fuel dispatched and closing stock to identify any variances.
  • Record all fuel received from suppliers, including delivery notes, invoices, quantities and prices.
  • Record fuel dispatched to customers, including delivery documentation, customer details, quantities and prices.
  • Maintain accurate records of fuel movements and stock balances.
  • Investigate and report any discrepancies or unexplained variances to the Depot Manager and Finance Manager.
  • Prepare daily fuel reconciliation reports using Microsoft Excel.
  • Assist with weekly and monthly stock counts and reconciliations.

2. CASH, SALES & INVOICING

  • Assist with preparation of invoices, receipts and other sales documentation.
  • Record daily fuel sales and related financial transactions.
  • Assist with verification of cash and electronic payments received.
  • Assist with petty cash management and daily reconciliation.
  • Maintain accurate records of customer payments and outstanding balances.
  • Prepare daily sales reports showing litres sold, sales value, payments received and outstanding amounts.
  • Assist the Finance team with accounts receivable and accounts payable activities.

3. DEPOT ADMINISTRATION & RECORDS

  • Maintain proper filing of delivery notes, invoices, receipts, trip sheets, stock records and other supporting documents.
  • Ensure accounting and depot records are complete, accurate and easily accessible.
  • Assist with preparation of documents required for internal and external audits.
  • Assist in monitoring depot documentation and reporting any expired or missing documents to management.
  • Support the Depot Manager and Finance Manager during month-end stock and financial reconciliations.
  • Perform other accounting and administrative duties as assigned.

QUALIFICATIONS & EXPERIENCE

  • Diploma or Degree in Accounting from Copperbelt University (CBU), ZCAS University, or another recognised institution.
  • Applicants seeking internship or industrial attachment opportunities are encouraged to apply.
  • Up to one year of relevant work experience will be an added advantage.
  • Experience in accounting, fuel, transport, logistics or a depot environment will be an added advantage.
  • Good understanding of basic accounting principles and bookkeeping.
  • Excellent computer and Microsoft Excel skills.
  • Knowledge of accounting software such as QuickBooks, Sage or Pastel will be an added advantage.
  • Ability to perform reconciliations and accurately balance financial records.
  • Strong numerical and analytical skills.
  • Excellent attention to detail and accuracy.
  • Good written and verbal communication skills.

  • Must be available to start immediately.
  • Must be willing to work from the Kitwe Depot.
  • Must be comfortable working in a fuel depot and operational environment.
  • Candidates should be able to demonstrate practical knowledge of Microsoft Excel and basic accounting during the selection process.
