Responsibilities or duties
Recruitment
- Administering and controlling recruitment assignments as assigned and in accordance with the company’s recruitment policy and recruitment checklist.
- Conducting relevant pre-employment checks prior to issuing offer letters and employment contracts.
- Preparing and issuing offer letters, employment contracts and agreements to successful applicants, and regret letters to unsuccessful interviewees.
Performance Management
- Facilitating and coordinating company-wide performance appraisal requirements in accordance with annual deadlines.
- Facilitating with Line Managers on required changes to the Performance Management Database.
- Tracking probation dates for new starters and facilitating probationary performance reviews in accordance with company policy.
- Providing end-to-end support and guidance to Line Managers and staff on the company’s performance management systems.
Onboarding and Offboarding
- Reviewing and facilitating company-wide induction for new and existing employees.
- Conducting exit interviews for employees resigning from employment.
- Preparing termination-of-service checklists for terminated employees to facilitate payroll processing.
Employee Relations and Industrial Relations Support
- Providing support on Industrial Relations matters as required.
- Supporting and participating in disciplinary cases while ensuring compliance with the disciplinary case checklist and established procedures.
- Attending to staff grievances and complaints and ensuring that the approved grievance procedure is being followed.
Payroll, Compensation and Benefits Administration
- Ensuring newly engaged employees are being loaded onto payroll within the required deadlines.
- Supporting monthly payroll preparation and processing and ensuring accurate and timely submission of payroll inputs.
- Ensuring changes relating to bank details, medical deductions and other payroll-related adjustments are being submitted before applicable deadlines.
HRIS and Systems Management
- Administering the company’s HRIS platforms, including Time and Attendance systems, SAGE300, and ESS.
- Providing HRIS user support and training to staff in accordance with company policies and procedures.
General HR Administration and Reporting
- Coordinating annual reviews of job descriptions
- Ensuring departmental organograms are being reviewed and signed off by Department Heads and that approved changes are being updated accordingly.
- Supervising P&C Administrators in facilitating and implementing ad hoc HR projects and assignments.
Self-Management and Professional Development
- Complying with all company rules, regulations, policies, and procedures.
- Identifying personal training and development needs and communicating them to the supervisor.
- Keeping abreast of company Human Resources policies, procedures, and amendments.
- Keeping abreast of relevant labour legislation, HR practices, and industry best practices.
- Undertaking other duties and responsibilities assigned by Senior Management that are aligned with the function.
Qualifications or requirements (e.g., education, skills)
Minimum Required Qualifications and Experience:
- Ordinary level (GCSE)/ Grade Twelve
- Diploma in Human Resource Management, Business Administration, Social Science, or related qualification.
- Minimum 4 years’ relevant experience in general human resources management.
- Experience working with HRIS, payroll, employee databases, and digital HR systems.
- Good knowledge of Zambian labour laws, HR policies, and employment practices.
- Paid up Member of ZIHRM
Desirable Qualifications and Experience:
- Ordinary level (GCSE)/ Grade Twelve
- Bachelor’s degree in human resources management, Business Administration, Industrial Relations, Organizational Psychology, or a related field.
- Experience in HR administration, recruitment and onboarding, employee relations, performance management, leave and attendance management, and employee records.
- Experience working with HRIS, payroll, employee databases, and digital HR systems.
- Good knowledge of Zambian labour laws, HR policies, and employment practices.
- Experience supporting training, employee engagement, workforce planning, and HR reporting.
- Experience working in an NGO, donor-funded, public health, or multi-site organization.
- Paid up Member of ZIHRM

- Ability to Effectively plan, prioritize, and coordinate HR activities and deliverables.
- Able to Identify HR issues, analyze causes, and develop practical and timely solutions.

- Ability to Use initiative and available resources to address challenges and improve HR processes.
- Able to take ownership of responsibilities and consistently delivering quality results within agreed timelines.
- Able to Work effectively with colleagues and stakeholders to achieve shared organizational objectives.
