About the Role
Looking for a detail-oriented Operations Administrator to support smooth day-to-day running of the workshop — acting as the link between production, procurement, sales, and management. The goal is to ensure jobs are tracked, materials are accounted for, paperwork is done, and deadlines are met.
Key Responsibilities
1. Production Administration & Job Tracking
Raise and track job cards/work orders for production, repairs, and upholstery
Maintain production schedules and update progress with the Workshop Manager
Record daily output, downtime, rework, and completion status per job
Coordinate delivery and installation schedules with Sales/Logistics
2. Materials & Inventory Control
Raise material requisitions for timber, boards, hardware, upholstery, adhesives, finishes
Maintain stock records and do regular cycle counts in the workshop store
Receive goods, check GRNs, and report shortages/damages
Monitor material usage vs. job costing to help reduce waste
3. Documentation & Reporting
Prepare delivery notes and job completion reports
Maintain customer files, technical drawings, cut lists, and specifications
Compile weekly production reports, material usage reports, and KPI dashboards for management
File and archive all workshop records
4. Client & Team Coordination
First point of contact for workshop-related queries from Sales and Clients
Communicate job status updates, lead times, and delays to relevant teams
Support the Workshop Manager with staff attendance, leave records, and timesheets
5. Quality, Safety & Compliance
Ensure all paperwork follows quality procedures
Maintain records for equipment maintenance and safety checks
Enforce documentation for PPE issuance and incident reporting
Requirements
Diploma/Certificate in Business Administration, Supply Chain, or related field (trade background in carpentry is an advantage)
2–3 years in a workshop, factory, or manufacturing admin role; furniture/wood industry experience preferred
Proficient in MS Excel, Word, and inventory systems; ERP experience a plus
Ability to read basic drawings, cut lists, and BOQs
Good numeracy for costing and stock reconciliation
Soft skills: highly organised, good communicator, problem-solver, able to work under pressure and meet deadlines
