Job Summary

Chibanje Capital Resources Limited is a fast-growing loan services company in Zambia.

We are looking for a proactive, disciplined and results-oriented Human Resources Officer to support the company's rapid growth by attracting high-quality talent, strengthening employee performance, ensuring compliance with labour laws, and helping build a high-performance culture.

The successful candidate must be able to work independently, maintain confidentiality, execute HR processes efficiently, and partner closely with management.

Key Responsibilities

  1. Recruitment & Talent Acquisition
  • Manage the full recruitment cycle from job advertisement to onboarding.
  • Screen applications and conduct initial interviews.
  • Coordinate interviews with hiring managers.
  • Conduct reference and background checks.
  • Prepare employment contracts and offer letters.
  • Maintain a strong talent pipeline for future hiring needs.
  1. Employee Onboarding & Offboarding
  • Coordinate employee induction and orientation.
  • Prepare onboarding documentation.
  • Ensure all company assets are issued and recorded.
  • Manage resignation, termination and exit clearance processes.
  • Conduct exit interviews and prepare reports.

3.HR Administration

  • Maintain accurate employee personnel files.
  • Update HR records and employee database.
  • Monitor probation periods and contract renewals.
  • Prepare HR reports and workforce statistics.
  • Ensure confidentiality of employee information.
  1. Performance Management
  • Coordinate probation evaluations.
  • Track KPI completion and performance review schedules.
  • Support management in implementing performance improvement plans.
  • Assist management in identifying training and development needs.
  1. Employee Relations
  • Handle employee queries professionally.
  • Assist in disciplinary investigations and hearings.
  • Prepare warning letters and disciplinary documentation.
  • Help resolve workplace conflicts fairly and professionally.
  • Promote a positive and performance-driven working environment.

6.Payroll & Attendance

  • Prepare monthly payroll input.
  • Verify attendance, leave and overtime records.
  • Coordinate statutory deductions and employee records.
  • Ensure payroll information is accurate before processing.
  1. Compliance
  • Ensure compliance with the Employment Code Act and other applicable labour legislation.
  • Maintain HR policies and employee handbook.
  • Support internal HR audits.
  • Ensure statutory HR documentation is properly maintained.
  1. Training & Development
  • Coordinate internal and external training programmes.
  • Maintain employee training records.
  • Monitor mandatory compliance training.
  1. Other Responsibilities
  • Support company culture initiatives.
  • Organize employee engagement activities where appropriate.
  • Perform any other HR-related duties assigned by management.

Minimum Qualifications

  • Bachelor's Degree in Human Resource Management, Business Administration or related field.
  • Minimum 2 years' experience in Human Resources.
  • Good knowledge of Zambian Labour Laws.
  • Proficiency in Microsoft Office.
  • Experience using HRIS or payroll systems is an advantage.
  • Membership with the Zambia Institute of Human Resource Management (ZIHRM) is preferred.
