Job Description

The Human Capital Officer is responsible for supporting the daily operations of the Human Capital (HR) function of the business. This role focuses on maximizing the value of the organization’s workforce by assisting with talent acquisition, employee relations, performance management, training and development, and ensuring compliance with labour laws. The Job holder will act as a bridge between management and employees, fostering a positive, productive, and inclusive work environment.

Key Responsibilities

Talent Acquisition & Onboarding

  1. Assist in the recruitment process, including drafting job descriptions, posting vacancies, screening resumes, and scheduling interviews.
  2. Conduct initial HR interviews and coordinate background checks or reference verifications.
  3. Coordinate and execute the onboarding process for new hires, ensuring they receive necessary training, tools, and a seamless introduction to the company culture.

Employee Relations & Engagement

  1. Serve as a primary point of contact for employee inquiries regarding policies, procedures, and benefits.
  2. Promote a positive work environment through employee engagement initiatives, feedback surveys, and team-building activities.
  3. Assist in resolving low-level workplace conflicts and grievances in a fair and confidential manner.

Performance Management

  1. Support the implementation and monitoring of the annual performance appraisal process.
  2. Provide guidance to employees and line managers on setting objectives and key performance indicators (KPIs).
  3. Maintain accurate records of performance reviews and development plans.

Training & Development

  1. Identify training needs within departments through consultations with managers and performance data.
  2. Coordinate internal and external training sessions, workshops, and professional development programs.
  3. Track training budgets and evaluate the effectiveness of programs.

HR Administration & Compliance

  1. Maintain up-to-date and highly confidential employee records (both digital and physical files).
  2. Ensure organizational compliance with local labour laws, health and safety regulations, and internal policies.
  3. Assist in the preparation of monthly HR metrics, reports, and data for payroll processing (e.g., leaves, attendance).

Disciplinary Matters

  1. Provide guidance to employees on disciplinary procedures and labour law compliance with a view to fostering compliance and subsequently prevent industrial unrest in the organisation
  2. Maintain disciplinary records and reports

Employee separations

  1. Conduct exit interviews and provides relevant feedback to the Company; and
  2. Liaises with other departments and units to ensure that the leaving employee hands over all Company property as may be required.

Staff Wellness

  1. Promote the overall health and wellness of the employees by organising fitness programs.
  2. Coordinate employees’ medical scheme in order to ensure easy access to medical facilities

Minimum Qualifications

  • Full Grade 12 Certificate
  • Bachelor’s Degree in Human Resource Management, Business Administration, Public Administration or a related field.
  • Member of Zambia Institute of Human Resource Management

  • Solid understanding of local labour laws, statutory regulations, and HR best practices.
  • Analytical, innovative and problem-solving skills;
  • Excellent relationship building skills;
  • Strong proficiency in the use of analytics;
  • Interpersonal Skills i.e. Exceptional communication and active listening skills with the ability to build trust across all levels of staff.
  • Problem-Solving i.e. Strong conflict-resolution skills and the ability to handle sensitive situations with diplomacy and empathy.
  • Organization i.e. Excellent time-management skills with a proven track record of managing multiple tasks and deadlines simultaneously.
  • Technical Proficiency i.e. Familiarity with Human Resources Information Systems (HRIS), Sage300 People, Applicant Tracking Systems (ATS), and standard office software (e.g., Microsoft Office Suite, Google Workspace).

Years of Experience Required

  • Minimum of 3 years of relevant work experience.
  • Minimum of 3 years in a similar position.
