ADVERTISEMENT ACCOUNTANT
Location: Plot #6321 Elm Road,
Woodlands, Lusaka, Zambia
Department: Finance
Reports to: Finance Director
Grade: Officer level – individual contributor,
non-supervisory

ROLE PURPOSE

Maintains accurate financial records, ensures timely collections and protects stock, enabling the Finance Director to deliver on the company’s financial mandate.

KEY RESPONSIBILITIES

Bookkeeping & Financial Records

  • Maintain accurate, up-to-date books of account (ledgers, journals, cashbooks) for all Plantlife transactions.
  • Process day-to-day financial transactions and post them to the correct accounts.
  • Prepare monthly trial balances and support the Finance Director in producing management accounts.

Accounts Receivable & Credit Control

  • Track and reconcile all cash and credit sales to agro-dealers, including tiered credit terms (30/60/90 days).
  • Monitor debtor balances and follow up on overdue accounts in coordination with the Sales & Marketing team.
  • Maintain records of director personal guarantees securing credit customers, and flag any exposure that needs attention.
  • Issue invoices, receipts, and statements of account.

Accounts Payable & Expense Management

  • Process supplier invoices and staff expense claims, and prepare payments for approval.
  • Reconcile supplier statements and maintain accurate payables records.

Stock & Inventory Support

  • Support the Finance Director’s stock-protection mandate through regular stock reconciliations against sales and dispatch records.
  • Flag discrepancies between physical stock and recorded stock promptly.

Cash & Bank Management

  • Perform regular bank reconciliations.
  • Monitor cash flow and flag any funding or collection risks to the Finance Director.

Compliance & Reporting

  • Ensure compliance with Zambian tax obligations (e.g. VAT, PAYE, income tax) and statutory filing deadlines.
  • Maintain audit-ready records and support external audits or ZRA reviews as needed.
  • Assist the Finance Director with budget preparation and variance tracking.

Statutory Payroll Returns and Reconciliation

  • Prepare and submit monthly statutory payroll returns, including NHIMA, NAPSA, and PAYE, within the prescribed deadlines.
  • Reconcile payroll-related accounts and statutory deductions against payroll records and payment schedules.
  • Ensure all statutory deductions are accurately calculated, accounted for, and submitted on time.
  • Maintain accurate payroll and statutory records and promptly resolve any discrepancies or variances identified during reconciliation.
  • Comply with the company’s payroll confidentiality, data protection, and information security policies always.

QUALIFICATIONS & EXPERIENCE

Minimum requirements

  • Diploma in Accounting, Finance, or a related field, plus
  • ZICA Licentiate/Level II (or equivalent).
  • 1-2 years’ experience in a bookkeeping or accounts role, with hands-on debtor/creditor management.
  • Working knowledge of Zambian tax and statutory requirements (VAT, PAYE, ZRA filing).
